Kids party planning can sound overwhelming, but trust me – you don’t need a party planner or a Pinterest degree to make magic happen.
So, you’ve decided to throw a birthday bash for your little one, and now you’re knee-deep in tabs about cakes, decorations, and whether or not glitter slime counts as a food group.
This simple birthday party checklist is your at-a-glance guide to planning a fun, memorable celebration – without losing your mind (or your party hat).
This post is all about party planning made simple.
It’s not “the ultimate” guide (although I do have the ultimate party planning checklist you can check out).
This is the realistic, let’s-get-this-done version for busy moms who just want to plan a kids birthday without the chaos.
Your Quick-Start Guide to Kids Party Planning
Your Quick & Simple Children’s Party Checklist
Don’t worry, you don’t need to do everything on this list. Whilst I have simplified the list, just pick what works for your budget, time, and sanity level.
The early steps of kids party planning are all pretty connected, especially when it comes to things like budget, theme, venue, timing, and your guest list.
For example, locking in a venue might affect how many guests you can invite or how much you’ll end up spending.
I’ve listed these steps in a general order below, but just know they often overlap. So it helps to keep the whole party picture in mind as you go

#1 Budget
Whether you stick strictly to a budget or you’re a “guess and hope” gal (hi, it’s me), having a rough idea of what you’re willing to spend keeps things in check.
After planning many parties, I don’t typically bother setting out a budget, but I always have an idea of what I can spend.
Your budget will guide choices like venue, food, and how many kids you’re inviting.
#2 Theme
No pressure here! Ask your party kid if they have a dream theme, or just choose a color scheme and roll with it.
Just be intentional with any party supplies you need to purchase and buy them in coordinating colors. Matching cups, napkins, and a balloon or two can pull things together with zero stress.
#3 Venue, Date & Time
Choose if it’s all happening at home, the park, a family member’s home, or a venue for hire.
Some venues (like playgrounds or indoor play centers) might dictate your party time, setup, budget or theme.
And if you’re going outdoors, definitely have a rainy-day Plan B. Even superheroes need shelter.
#5 Invitations
Birthday party invitations can be a big deal that sets the party scene.
You could go all out with a custom printable invite (maximum impact for little expense) or even a themed physical invitation gift.
Alternatively keep it as simple as setting up a facebook event or shooting a quick text if that’s your speed.
#6 Menu/Food & Beverages
Don’t overthink it. You can try scheduling the party after lunch so no one’s expecting a full buffet (less effort and good for the budget!).
If you’re hiring a venue, this may determine the types of food available. Or they may provide it themselves.
For other types of parties, some finger food, snacks, and drinks will do the trick. Ask family and friends to bring a dish.
You can also plan ahead and prep food 1-2 weeks in advance that you can freeze to save you time before the party.

#7 Cake
Don’t forget the cake! It’s such an important part to kids when they’re celebrating their big day (hence the reason for it’s own special heading!).
Whether it’s homemade, store-bought, or a cupcake tower – do whatever works for you.
Have an idea of the cake you’re going to get that way if you need to have it professionally made, book it in sooner rather than later.
Not much of a baker? Same… I’m always trying to come up with cheat ways to make fun cakes easily. You can check out these ideas for easy kids birthday cakes.
#8 Decorations
There are so many options for how you can decorate your party. Your decor depends a lot on your venue and your vibe.
From simple balloons and streamers to party backdrops and signs, flower arrangements to buffet and table settings.
Save money and make your own custom decorations or you can pick up just about every type of party decoration at places like Amazon.

#9 Games & Activities
Let’s be real – kids love anything that lets them move, shout, and win candy and cool stuff.
Keep it simple with things like a pretend play/dress-up corner, outdoor play equipment or coloring. Remember to use things you already have.
Plan some games that require a little more structure like red light green light, musical statues, or pass the parcel.

#10 Entertainment
Entertainment is often the perfect sidekick to games. You may choose to have both or just one.
Entertainment is a (sometimes a paid) activity to keep the kids busy. If you want to level up, think unicorn rides (yep, they exist), clowns, magicians, bubble shows and specialist party hosts.
Just make sure it fits your birthday party essentials list and doesn’t blow the budget.
#11 Music
Set the mood! A themed playlist, a dance-off mix, or just some cheerful background tunes keeps the kids excited and covers those weird silences whilst they kids dig into cake.
You can tie your music into your games or set the scene with songs to suit your theme (I’d avoid any Frozen parties hosted by me if I were you!).
#12 Party Favors & Gifts
You may like to organise gifts to go along with your games. Party favors can be utilised from other aspects of the party.
Get party favor double duty from:
- Mini craft kits they made at the party
- Lollies from a piñata
- Wrapped cupcakes or DIY cookies
- Printable coloring pages or activity packs
Pro tip: use kids birthday activities that turn into take-home favors = fewer things to buy, and kids love them!
Here you’ll find more party favor ideas that do double (or even triple!) duty.

Final Tips for Easy Kids Party Planning
Let’s wrap it up with a few quick, real-mom tips that make all the difference:
Make a Party Day Timeline
Not a scary one. When you’re hosting a party, time flies by! Just jot down things like when to set up, when guests arrive, cake cutting, and games. It’ll help you stay on track and avoid the last-minute scramble.
Assign a Photographer (That’s Not You)
You’ll be too busy being fabulous. Delegate snapping photos and filming short videos to a friend or teen cousin. This way you can actually be in the memories too.
Phone a Friend (or Two)
You don’t have to do this alone. Get help with decorating, running games, or handing out cake from family and friends. Teamwork = sanity.
